These Terms and Conditions ("Terms") govern your use of the Refined Aesthetics website and the care we provide. By visiting our site, booking an appointment, or receiving treatment at either of our locations, you agree to what follows. Please read them carefully. If you do not agree with any part of these Terms, please do not use our website or services.
Refined Aesthetics is an aesthetic medical practice founded by Sarah Safa, PA-C, with locations in Leesburg and Winchester, Virginia. Throughout these Terms, "we," "our," "us," and "Refined Aesthetics" refer to the practice. "You," "client," or "patient" refers to anyone using our website or receiving care from us.
We offer aesthetic, skin, and wellness treatments performed by licensed physician assistants, nurse practitioners, registered nurses, and licensed estheticians. All treatments are performed within the scope of each provider's license and under appropriate medical supervision.
By booking a treatment, you confirm that:
• You are at least 18 years old, or you have the consent of a parent or legal guardian who will accompany you to the appointment.
• You have given us accurate and complete information about your medical history, current medications, allergies, and any prior treatments.
• You have disclosed any conditions, including pregnancy, breastfeeding, or recent illness, that may affect your eligibility for care.
We reserve the right to refuse, postpone, or modify any treatment based on our clinical judgment. We will tell you so plainly if a treatment is not right for you, whether for reasons of safety, suitability, or your wellbeing.
All new clients begin with a consultation. The consultation includes a review of your medical history, an assessment of your goals, and a discussion of treatment options. We do not begin treatment without it.
By booking an appointment, you agree to:
• Arrive on time. Late arrivals may shorten your appointment or, at our discretion, require rescheduling.
• Complete all required intake and consent forms at your appointment.
• Honor the policies in Section 4 (Cancellations) and Section 5 (Pricing and Payment).
Refined Aesthetics has a 24-hour cancellation policy. Failure to cancel your appointment more than 24 hours in advance will result in a cancellation fee of $100. If you miss your scheduled appointment time (no-show or are more than 7 minutes late) this will also result in a cancellation/no-show fee.
This cancellation policy is in place to ensure that our schedule runs smoothly and efficiently. When clients cancel or reschedule without sufficient notice, it can result in lost revenue and disrupt the flow of appointments for our staff. By giving us at least 24 hours' notice, you allow us the opportunity to fill that appointment slot with another client who may be on a waiting list. This helps us maintain our commitment to providing timely and quality care to all of our patients. We appreciate your understanding and cooperation in adhering to our cancellation policy.
Aesthetic and wellness treatments produce results that vary from person to person. We will be honest with you about what is possible and what is not. No specific outcome can be guaranteed.
By receiving treatment, you acknowledge that:
• Results may vary based on individual anatomy, age, lifestyle, skincare habits, and adherence to aftercare instructions.
• Some treatments require multiple sessions to produce noticeable results.
• Side effects, including but not limited to redness, swelling, bruising, sensitivity, and temporary discomfort, are possible and expected with many treatments.
• Although rare, more significant complications can occur with any medical or aesthetic procedure. The relevant risks for each treatment will be discussed with you during consultation, and you will review and sign a treatment-specific consent form before any procedure.
If you experience an unexpected reaction, contact us promptly and follow the guidance of your provider. In a medical emergency, seek immediate care from an emergency room or your physician.
With your written consent, we may take before-and-after photographs to document treatment progress and to support clinical assessment. Photographs used for marketing, social media, educational materials, or other public-facing purposes are used only with your separate, written consent. You may withdraw consent for future use at any time by contacting us in writing. Photographs already published or distributed may not be retractable from third-party platforms.
Our website is provided for informational purposes. By using it, you agree:
• Not to misuse, disrupt, or attempt to gain unauthorized access to any part of the site.
• Not to copy, redistribute, or otherwise use our content (including text, photography, illustration, design, and branding) without our written permission.
• To use the booking, contact, and shop functions in good faith and for their intended purposes.

All content on the Refined Aesthetics website, including the brand identity, written work, photography, illustration, design, and the Refined Aesthetics name itself, is the property of Refined Aesthetics or its licensors and is protected by copyright, trademark, and other intellectual property laws. You may not reproduce, distribute, or create derivative works without our prior written consent.
Your privacy matters to us. Our Privacy Policy explains how we collect, use, and protect your information. By using our website and services, you agree to the terms of that policy.
For health information collected in the course of treatment, we comply with applicable medical privacy laws, including HIPAA. Specific protections are outlined in the Notice of Privacy Practices provided at your first appointment.
To the fullest extent permitted by Virginia law, Refined Aesthetics, its owners, providers, and employees are not liable for any indirect, incidental, consequential, or punitive damages arising from your use of our website or services.
Our total aggregate liability for any claim arising under these Terms is limited to the amount you paid for the specific service or product giving rise to the claim.
Nothing in these Terms limits any liability that cannot be excluded under applicable law, including liability for personal injury caused by gross negligence or willful misconduct.
You agree to indemnify and hold Refined Aesthetics harmless from any claims, damages, or expenses arising from your breach of these Terms, your misuse of the website, or your violation of any law in connection with your use of our services.
These Terms are governed by the laws of the Commonwealth of Virginia, without regard to conflict of laws principles. Any dispute arising under these Terms will be brought exclusively in the state or federal courts located in Loudoun County, Virginia, and you consent to the personal jurisdiction of those courts.
We may update these Terms from time to time. The most current version will always be posted on this page with an updated effective date. Continued use of the website or our services after changes are posted constitutes acceptance of the updated Terms.
